A company can automate part of its WhatsApp customer service with answers to frequently asked questions, classification of requests and hand-overs to the team. To do it well you need to tell the WhatsApp Business app apart from the integration platform, respect the sending permissions and decide when a person steps in.
Which queries should you automate on WhatsApp?
Start with tasks that have consistent answers: opening hours, location, the status of a request and general details of a service. Conversations about complaints, delicate cancellations or sensitive information must have a human exit. The aim is not to always answer, but to avoid wrong answers. Before automating, collect the twenty most common questions, identify which answers depend on the moment and decide who maintains their content.
What is the difference between quick replies, a chatbot and an AI agent?
A quick reply is a template used by the team; a rule-based automation responds to predefined situations; an AI agent can interpret less rigid requests. The latter needs limits, controlled access to data and verification of its actions. Do not assume that a WhatsApp Business account allows any advanced automation without providers, integrations or additional conditions.
How do you connect it with appointments, CRM and the team?
First draw the journey: incoming message, intent identification, lookup in a reliable source, proposal, confirmation and record. An appointment is only booked when the calendar returns a valid confirmation. For a sales contact, record the origin and consent where it applies; avoid duplicate records by using a stable identifier. Every exception must produce a status that staff can recognise.
Which mistakes usually ruin the project?
The first is automating a procedure nobody has documented. The second, promising immediate human attention when there is no cover. The third, sending messages outside the authorised context or without checking the channel's current rules. The fourth, not having technical logs to detect failures, yet keeping more personal data than necessary.
How do you measure whether it really helps?
Measure the percentage of conversations resolved correctly, hand-overs, calendar errors, time until a person steps in and satisfaction when it can be collected. Compare equivalent periods and note seasonal changes. A high number of automatic replies on its own does not indicate success if complaints increase.
How do you set up a WhatsApp pilot that does not turn into spam?
To design a first version, separate three conversations: an informational query, a request that needs a system to be consulted and a complaint. The first can return authorised information; the second needs to read and confirm current data; the third needs a person or a clear procedure. This inventory prevents a bot from answering in the same way questions that have different consequences.
On WhatsApp, replying to a conversation started by the customer is not the same as sending proactive messages. Sending is subject to platform rules, permissions and templates depending on the context. Document who starts each message, what authorisation exists, which category applies and what happens when the message is not delivered. The existence of an API does not automatically make any message acceptable.
Imagine a shop that receives "where is my order?". A safe flow asks for a minimal piece of identification, queries the carrier or order manager and communicates only the status it retrieved. If the order and the shipment disagree, it must not improvise a date: it records the incident and gives the team the context needed to resolve it, without making the customer start from scratch.
To test it, prepare conversations with ambiguous messages, voice notes, typos, two orders from the same customer, out-of-hours messages and people asking to stop receiving communications. Note the expected answer for each case. Measure the proportion of queries closed correctly and the percentage of transfers with useful context, not just how many messages the bot produces.
What should happen when the customer abandons a conversation
A person may start a booking on WhatsApp and not answer the last question. The system must not hold a slot indefinitely or create an incomplete appointment. Define how long an unconfirmed proposal lasts, which piece of data identifies the operation and how it is communicated that the booking was not made. If the customer comes back later, availability is checked again; a previous option is not reused for convenience. This distinction avoids confusing an intention to book with an actual booking.
If the person writes "talk to someone", that preference must change the route of the conversation. Pass the team the minimum context: reason, latest steps and status of any operation. The transfer should not create another identical request or delete the answers already given. An automatic message must also distinguish whether a person is available now or whether a note will merely be taken. Promising an immediate conversation without cover is especially problematic outside opening hours.
Another practical case is the communications after an appointment: confirmation, change and reminder are not the same event. Each message must be triggered from the current status and respect the channel's applicable conditions. If the appointment is cancelled, a pending reminder must stop. Before launch, check delays, simultaneous replies and messages that arrive out of order, because they are common situations in any distributed system.
What happens if a customer writes through two channels at once?
A customer may ask about the same order on WhatsApp and by email. If each channel opens a ticket without checking the history, the team ends up solving the same issue twice. To avoid this, the conversation identifier must not be confused with the ticket identifier. In the CRM you need to check whether an active request linked to that order already exists and, if it does, add the message as a new interaction. The customer does not need to know about that complexity, but they do need a consistent reply.
Also design a silence policy: what happens when a human operator takes over? The prudent approach is to stop the bot from continuing to reply at the same time. In sensitive conversations, the automation can be limited to giving the agent an internal summary, as long as it is based on real messages and access to them is controlled. The evaluation of the pilot should include cases where the bot stops correctly, not just examples of accurate replies.
How we approach it at meiika
At meiika we treat messaging automation as a verifiable journey: query, data source, answer and hand-over. The voice demonstration case S.A.R.A. illustrates automated customer service on another channel, but it is not a WhatsApp demonstration. Before quoting a messaging solution we would review the channel, its permissions and the system that holds the information.
When the channel is WhatsApp, the work usually combines two pieces: a self-management agent that answers within clear rules and the connection to your tools, which we plan as part of a custom system when the existing applications are not enough.
