Can an AI agent answer using your company's documents?

An AI agent can help your team find procedures, summarise manuals and answer questions about internal documentation. It does not automatically turn all your files into reliable information: it needs correct permissions, current versions, identifiable sources and a clear way out when it does not know the answer. Without that work, you are only automating a confusion that already existed.

What can an agent that consults internal documents solve?

Picture a company with returns instructions in PDF, installation protocols in Word and support replies scattered across shared folders. A staff member asks how long a request takes, which steps to follow or which form is the valid one. The useful promise of a document agent is not "knowing everything": it is helping find the right answer without going through twenty files by hand.

This type of solution combines search and language generation. A common pattern is called retrieval-augmented generation, or RAG: the system finds relevant fragments and the model writes an answer based on them. That does not remove errors. It can retrieve an old document, mix two processes or misread an exception.

The most valuable answer includes a findable reference to the document used, its validity when known and a note of what remains unconfirmed. If the procedure changes by country, sales channel or customer category, the agent should ask for context before giving a general instruction.

Consulting a policy is not the same as executing it. An informational agent can explain how to request a return; an operational agent could also open a case if it is given integrations and permissions. That second step needs validations, logs, action limits and error handling. Never grant the ability to modify records just because the system answers questions well.

The commercial value depends on real work: departments with many instructions, frequent onboarding, technical customer support or procedures that change often can have different needs. First identify a task, then choose the technology.

Why is a shared folder not enough to build a reliable agent?

A file structure usually reflects years of small decisions: several "final" versions, downloaded PDFs, documents with no owner, duplicated folders and inherited permissions. If the human team does not know which version prevails, the agent has no infallible signal either.

Start by assigning owners to each set of documents. Mark which document is the current version, which are historical and which procedures need review. You do not have to rebuild the whole intranet on day one: a narrow pilot works better with a small, clean set than with thousands of inconsistent files.

Define the operational vocabulary. A company may call an "incident" a breakdown, a complaint and a logistics request. Create equivalences or a glossary to avoid answers that blend separate processes. Include dates and scope of application where they matter.

Quality also depends on the documents that are missing. If an exception is always resolved by phone but was never recorded, the agent may offer a wrong general rule. Gather the cases the team resolves from memory and add reviewable procedures. That improves the documentation even if the AI project is delayed.

Tell apart the original source, the search index and the generated answer. A coherent answer does not prove its source is. When a policy changes, ask how the index is updated, with what delay and how deleted or revoked documents are detected. Without a concrete technical answer, the update may remain a sales promise.

How do you stop an agent from showing information it should not?

Permissions must be applied at query time, not only in the look of the interface. An agent for a sales team should not retrieve HR contracts if the person asking has no access. Security starts with the principle of least privilege: access only the information needed for the task.

Microsoft explains that agents in SharePoint use the user's permissions to determine which content they can show. It also documents access controls and agent administration. That guides the design, but it does not prove that a specific deployment is configured properly; it has to be tested. See the official Microsoft documentation.

Create test accounts with different profiles and ask about documents each one should and should not be able to see. Validate not just the links: examine the text of the answer. Sometimes information leaks when a document is summarised without revealing the original file. Try cross searches, project names and questions that attempt to bypass instructions.

You also need an incident management process: who receives a report of an incorrect answer, how the source is corrected, how long a query log is kept where relevant and who authorises new folders. When personal data is involved, analyse the legal basis, recipients, security measures and contracts required under the GDPR.

It is not enough for the provider to promise a private model. The specific assessment must cover storage, access, logs, connected providers and possible international transfers. The business's configuration matters as much as the AI model.

How would you design a pilot before opening it to the whole team?

Choose a low-risk, repetitive process, for example checking internal travel expense rules or finding technical sheets the team can already access. Gather genuine questions, the official answers and examples of questions for which the agent must say it does not know.

Define an evaluation set before training the team to use it. Include normal queries, contradictory documents, outdated references and out-of-scope cases. Check accuracy, document reference, respect for permissions and ease of escalating to the owner. It is not enough to assess whether the answer "sounds natural".

A system can answer fluently and be wrong in a relevant share of exceptions; so review a carefully chosen sample and record the failures. We have no universal accuracy rate that we can promise for any small business. It depends on the corpus, the model, the search, the configuration and the complexity.

During the pilot, let people consult the original source. If the agent finds a policy, the user should be able to open it to decide whether it applies to their case. For decisions with delicate legal, health, employment or financial implications, define professional oversight.

After the pilot, expansion follows needs and permission groups, not enthusiasm. Team acceptance is not won by hiding limits, but by showing usefulness in recognisable tasks and accessible correction mechanisms.

How have we approached it at meiika?

At meiika we work on custom systems and self-management agents starting from the processes and integrations an organisation needs. In a document project we would begin by taking stock of sources, users and authorised actions, before deciding on architecture or tools.

This is a proposed method, not a claim about a completed client case. Our S.A.R.A. demonstration illustrates a different category, telephone service: it identifies itself as an automatic assistant and has audio recording switched off in the demo. It does not demonstrate the capabilities of a document agent or commercial results.

To study a case we need to know where the documentation lives, who updates it and which questions should be resolved without exposing sensitive information. Sometimes the first improvement is not deploying AI but tidying up access and procedures. A useful automation starts from a recognised source of truth.

FREQUENTLY ASKED QUESTIONS

Questions worth answering.

Can an agent read all the documents in SharePoint?

It depends on the licences, configurations and permissions granted. That a product can connect to SharePoint does not mean it should open every document in the company.

Can a document agent make up answers?

Yes. It can misread a question or use insufficient sources; that is why it needs references, tests and an explicit way out when the evidence is not enough.

Do I have to move my documents to another provider?

Not necessarily. The architecture depends on the available tools and contracts; some solutions work with existing repositories and others need additional indexes or storage.

Where do I start with a small project?

Pick one procedure, one document owner and one group of users with clear permissions. Check the sources first and evaluate real questions before widening the solution.

Do you have documents and doubts about an agent?

If you have scattered documentation and do not know whether an agent can help, tell us about your case and we will look at where to start with a narrow pilot.
